Logistics Software: Tracking, Fleet Management & Route Optimization
A custom logistics system pays for itself through three numbers, and only three: how many deliveries a vehicle makes per day, how many "where's my order?" calls your team fields, and how many dispatches get redone because of an address or exception error. Move those three and the software pays for itself; if you don't, you just bought a nice-looking dashboard.

The four pieces of a logistics system
- Real-time tracking. Vehicle position, the status of every shipment, and a public link where the end customer can see their order without calling anyone. It's the piece that cuts customer-service load fastest.
- Fleet management. Vehicles, drivers, documents with expiration dates (SOAT insurance, vehicle inspection, licenses), maintenance, and fuel consumption. The value is in the alerts: a vehicle grounded by an expired document costs a full day of operation.
- Route optimization. The algorithm that decides which orders go together, in what order, and with which vehicle, respecting time windows, capacity, and circulation restrictions like Colombia's "pico y placa" (license-plate driving restrictions).
- Driver app. The day's manifest, delivery confirmation with signature or photo, exception logging, and evidence capture. Without this, the rest of the system runs on data someone types in by hand at night.
On top of these four you build the rest: inventory and invoicing integration, IoT telemetry, and compliance reporting per client.
Where the real money is
Deliveries per vehicle per day. This is the metric that matters most. Going from 18 to 22 daily deliveries across a fleet of 10 vehicles means 40 more deliveries a day without buying a truck or hiring a driver. That's where route optimization stops being a luxury.

What changes when you operate in Colombia
Road freight transport. If you move freight over land, there are reporting obligations to the Ministry of Transportation — the electronic cargo manifest and dispatch registration in the RNDC — and the SICETAC exists as the sector's cost-reference system. Last mile and carriers. Most operations in Colombia combine their own fleet with carriers like Servientrega, Coordinadora, Interrapidísimo, TCC, or Envía. The system needs to generate the waybill, check status, and unify everything into a single view, so the customer never needs to know who dispatched their order.

Buy a TMS or build one?
- Off-the-shelf TMS. Handles the standard flow and gets you moving fast. Works well if your operation looks like the one the vendor modeled.
- Off-the-shelf + custom development at the edges. The most common approach: you buy the core and build what sets you apart — the routing engine, the customer portal, the ERP integration.

Mistakes that get expensive
- Buying the routing engine before you have clean data. It's putting the roof up before the foundation.
- A driver app that requires a permanent connection. It fails exactly where it's needed most.
- Not modeling exceptions from the start. Absent recipient, wrong address, refusal, partial delivery: if that's free text, there's no reporting possible.
- Tracking that only the internal team can see. The value is in the end customer seeing it; otherwise you're still fielding the same calls.
